Who can do what: access levels explained

Each person in the company has an access level. It decides what they see and what they can change. The names are the same everywhere in KALEA.

  1. Step 1 : Find your level

Open “My account”, “Team management” section. If you are neither Administrator nor Director, you read your level there as “Your access: …”. The manager sees the whole team there, with everyone's level.

  2. Step 2 : Administrator and Director

Administrator: everything, meaning the fleet, the plans, the team and the subscription.
Director: all the day-to-day like the Administrator (fleet, work orders, team, stock, costs…), except the subscription, Director accounts and the legal identity.

  3. Step 3 : Management access

Management access: the fleet, the maintenance, the work orders and the breakdowns. The person adds, edits and marks as “done”, but does not manage the team.

  4. Step 4 : Data-entry access

Data-entry access: view the fleet, read the meter, take the photo of their machine, report a breakdown and handle the work orders assigned to them. The machine edit icon is not shown.

  5. Step 5 : Purchasing rights

Purchasing rights: the stock, the suppliers and the orders. The person sees the costs and views the fleet, but edits neither the machines nor the maintenance. They have no access to work orders.

Good to know

  • Only the Administrator and Director invite, create, change the level or remove a member: see invite a team member by email and change the access level or remove a member.
  • The “trade” (workshop manager, welder…) is just a label: it changes no access level.
  • The Director cannot invite another Director or act on a Director account: only the Administrator can.
  • If a button is missing or an action is refused, your level does not allow it: ask the manager to change it.
  • Depending on your plan, some screens are not available to anyone: see I cannot see work orders.
