Record a fuel fill or an operating expense

Fuel, machine transport, periodic inspection: these expenses add to the machine's cost. They are recorded from the same window as interventions, without touching the maintenance plan.

  1. Step 1 : Open the window

In “Machines”, tap “Log an intervention” on the machine's card.

  2. Step 2 : Choose the expense type

Tap the “Expenses & fuel” card. If you do not see these type cards, see the note below.

  3. Step 3 : Give the nature of the expense

In “Expense type”, choose “Site diesel refuel”, “Machine transport (Low-loader)”, “Periodic regulatory inspection (VGP)” or “Hydraulic oil top-up”. You can add details in the remarks.

  4. Step 4 : Enter the quantity and price

Fill in “Quantity / Litres” and the unit price. The amount is computed from the quantity and the price: it must be greater than zero. Check the date too.

  5. Step 5 : Validate

Click “Confirm and add to TCO” (on a phone, the button is called “Confirm”). KALEA shows "Frais enregistré".

Good to know

  • The expense type choice is only offered if the Costs & TCO module is available to you, depending on your plan: see the plans.
  • An expense has no effect on the maintenance plan's due date: it only counts in costs.
  • To read a machine's expenses: open its plan (“View the plan”), the “Operating costs” card lists them, with the total for the last 12 months. It is read-only.
  • Offline, the expense is kept on the device and is sent as soon as the connection returns.
