Import parts from a CSV file
Instead of typing parts one by one, you can load several at once with a CSV file (a table saved as plain text, which you can prepare in a spreadsheet).
Step 1 : Open the import
In the catalogue (“Stock & Service”, “Parts” tab, then “Parts catalogue”), tap “Import parts (CSV)”.
Step 2 : Start from the template
Tap “Download a template”: you get a file with the right first line and an example line. The “Copy” button copies the expected first line. It must be reproduced exactly, with the same column names in the same order.
Step 3 : Fill in your file
One part per line. Only the description and a valid price are essential; the reference and the supplier can stay empty. The price accepts a comma or a dot.
Step 4 : Choose the file and import
Tap “Choose a file…” (or drag the file into the area), then click “Import”.
Step 5 : Read the result
KALEA tells you how many parts were imported or updated. If some lines are rejected, the window stays open and lists each ignored line with the reason: fix the file and try again.
Good to know
- Smart update: a part whose reference already exists in your catalogue is updated, not duplicated. A line with no reference is always added as a new part.
- A file saved as UTF-8 or UTF-16 is accepted. If accents look wrong, start again from the downloaded template.
- The number of columns depends on your plan: the window always shows the first line expected for your account.
- There is no export of the catalogue alone. To export your stock status, see low-stock level and alerts.
