Run a stock count
A stock count means counting what is really in a warehouse and comparing it with what KALEA shows. The gaps are then corrected.
Step 1 : Open a new count
In “Stock & Service”, open the “Inventory” tab, then tap “New inventory”.
Step 2 : Set it up
Choose the “Store”. The name and the zone are optional: a zone limits the count to locations that start with that text. You can tick “Blind count (theoretical quantities are hidden from those counting)”.
Step 3 : Start the count
Click “Open the inventory”. The counting window opens with the warehouse's lines.
Step 4 : Count
Enter the counted quantity for each line. The “Scan” button reads a part's label; the “+ Unexpected item…” list adds an item that was not on the list. The filter can show only the “To count”, “Counted” or “With variance” lines.
Step 5 : Validate (Administrator or Director)
Click “Confirm”. KALEA shows how many lines are counted and how many have a gap. Click “Confirm validation”: each gap becomes a stock adjustment.
Good to know
- A validation is final: the adjustments stay visible in the movements. To give up, the Administrator or Director uses “Discard”: no quantity is changed.
- If some lines are not counted, a box offers to treat them as empty (quantity 0): tick it knowingly.
- A count in progress is resumed with “Resume”; a finished count is read with “View”. The CSV button in the window exports the session.
- Counting is possible for the Administrator, the Director and the “Management access” level; validating or abandoning is reserved for the Administrator and the Director.
