Track staff qualifications and certifications
KALEA helps you know who is qualified to work on which machine: a catalogue of qualifications, each person's certifications with their dates, and requirements per machine or per category. This feature depends on your plan: see the plans page.
Step 1 : Open the management window
In “Schedule”, then “Work orders”, scroll to the bottom of the page and click “Qualifications and certifications”. This window is reserved for the manager.
Step 2 : Fill in the catalogue
Open the “Catalog” tab and click “Add”. Give the qualification's name and, if it expires, its “Validity period in months (optional)”. Leave it empty for a qualification that does not expire. Save.
Step 3 : Enter people's certifications
Open the “People” tab. On the person's row, click “Add”, choose the qualification, enter “Obtained on” and, if you know it, “Expires on (optional)”. If you leave the expiry date empty, KALEA calculates it from the qualification's validity period.
Step 4 : Set the requirements
Open the “Requirements” tab and click “Add”. Choose the qualification, then “Applies to” a machine category or a machine, and the “Level”: Required or Recommended.
Step 5 : Choose the company rule
At the bottom of the window, the “Company rule” list offers: “No rule” (nothing is checked), “Warn” (KALEA warns when an order is assigned, without blocking) or “Block” (the server refuses to assign an order, or to sign as performer, without the required certification).
Good to know
- When an order is assigned, a message appears under “Assigned to” if the chosen person lacks the required or recommended certification, or if it has expired.
- The “People” tab puts the “To renew soon” block first for certifications expiring within 60 days; a certification's badge reads “Expires in … d” or “Expired … d ago”.
- On a machine's page, the “Qualified” button opens “Who is qualified”: the machine's requirements and the verdict for each member.
- Each person can view their own with “My certifications”, in the same place.
- The “Verify” button marks a certification as verified.
- Managing certifications needs a connection.
